Home / How we work

We check the goods against your documents.

You have paid a deposit. Production is finished. The factory wants the balance. We go to the factory address you give us, on the date they confirm, and check whether the goods match what you ordered. You get a verification report within 24 hours.

Five steps

  1. You send your order documents. PI or PO number, factory name and address, product and quantity, preferred date. If you only have a product link, send that — we will build the check criteria and tell you what will be looked at, before we arrive.
  2. We confirm and assign. We contact the factory to confirm the date and assign an inspector experienced in your product category. Usually within 2 hours during business hours.
  3. On site. AQL sampling from across the stacks — not the top of the nearest pile. Physical checks with scales, calipers, moisture meters and load weights. Every check photographed. Findings sent to you on WhatsApp as they happen, not at the end of the day.
  4. Report within 24 hours. English, with your documents listed as the reference, the AQL basis stated, every check marked against the document it was judged by, measurements written down, defect photographs with scale reference, and one clear conclusion.
  5. You decide. Release the balance, request rework, sort, or hold. We provide evidence. We do not make the commercial decision for you, and we do not negotiate on your behalf.

Independence

Our fee is paid by you and has no connection to the factory. We accept no commission from suppliers. The inspector works for you.

This is why our inspector can report that a lot does not match the order, and still be your inspector for the next one.

We also do not handle or take any part of laboratory testing fees. If you need a witnessed test, we connect you with the laboratory and the cost goes directly to them.

What we check, and what is outside our scope

This is the part most inspection companies leave vague. We would rather you know exactly what you are buying.

WE CHECK THE GOODS AGAINST
  • Model and SKU against your PI
  • Carton and unit count against your packing list
  • Colour and model mix ratios against your PI
  • Materials against your agreed specification
  • Wood species against your sample
  • Dimensions against drawing or agreed tolerance
  • Finish and workmanship against your approved sample
  • Carton marks, labels and order numbers
  • Accessory and hardware pack completeness
AT LEVEL 3 WE ALSO VERIFY
  • Foam density certificates
  • Martindale abrasion reports (ISO 12947)
  • Leather composition reports
  • Fire resistance reports (BS 5852 / CAL 117 / TB 117-2013)
  • Formaldehyde reports (CARB Phase 2 / EN 717)
  • Wood species identification reports
  • Salt spray and UV ageing reports (ASTM B117 / G154)
  • Durability test reports
NOT OUR SCOPE
  • Product testing of any kind
  • CMA or CNAS accredited reports
  • Formaldehyde, fire resistance, abrasion, salt spray, UV
  • Electrical safety certification
  • Any certificate or test report issuance
  • Supplier selection, negotiation or purchasing agency

Our report is an order verification statement, not a product test report. It records what we checked, what we found, and what we could not verify. It has no legal standing and cannot be used for customs clearance, marketplace approval or litigation. If you need evidence with legal force, you need an accredited laboratory — we will tell you so rather than imply otherwise.

What our inspectors carry

What we need before we arrive

DocumentWhat it lets us verify
Your PI or POModel, quantity, colour mix, dimensions, packing — the core of the verification
Your agreed specificationMaterials, densities, tolerances, hardware grades
Your approved sampleAppearance, colour, grain, finish, stitching
Your packing listCarton count and packing method
Drawings or dimension sheetsDimensions where no PI figure exists
Carton mark artworkShipping marks and order numbering
Your client's requirements, if anyWhere your client specifies beyond your own order

If you only have a product link, send that. We will build the check criteria and tell you what we will look at, before we arrive. That scoping conversation is free — but the report will record that order conformity could not be fully verified, which limits what the report can prove.

Questions

1. Which level should I choose?

First order with a new supplier, high order value, or goods sold under your own brand: Level 3. Regular orders from a supplier you know: Level 2 is usually sufficient. Repeat orders where you only need the count confirmed: Level 1.

2. Will the same inspector come every time?

We assign by product category, so a sofa inspection goes to someone who knows sofas. We will try to keep the same inspector for repeat orders on the same product, and you can request a specific name.

3. Can I talk to the inspector directly?

Yes. You get the inspector's contact details. Major findings are sent to you during the inspection, not in a report the next day.

4. Do you tell the factory what you find?

No. Findings go to you first. You decide what to communicate. That separation is deliberate — it is the reason the report is worth reading.

5. Do you sign a confidentiality agreement?

Yes. Our inspectors sign professional ethics and confidentiality commitments.

6. What if the factory refuses access?

We report that fact, with photographs. A factory that will not allow independent verification is telling you something.

7. Is your report a certificate?

No. It is a verification statement recording what we checked against your documents. It is not a test report, carries no legal standing, and cannot be used for customs clearance, marketplace approval or litigation.

8. I need a CMA report. Can you issue one?

No. We are not accredited and cannot issue test reports. We can introduce you to accredited laboratories; the fee goes to them directly and we take no part of it. At Level 3 we verify the factory's existing reports against what you need.

9. What happens if the report says the goods match but they arrive defective?

We re-check free of charge and refund the fee. The conditions are in our service agreement: claim raised within 14 days of container arrival, with photographic evidence, and the verification being AQL-based sampling. Full terms →

10. Do you verify during production as well?

Yes — pre-production and during-production checks are available at the applicable level, and they are often more cost-effective because problems are still cheap to fix.
